2. What Data We Collect

When you use WithPassage we collect the following personal information:

About the deceased person:

  • Full name
  • Date of birth and date of death
  • Known email addresses

About you (the family representative):

  • Full name
  • Email address
  • Phone number
  • Relationship to the deceased
  • Australian state or territory

About accounts being managed:

  • Financial institution and account details
  • Subscription and service provider names
  • Account numbers and email addresses
  • Estimated monthly costs

Usage and communications:

  • AI-generated letter content
  • Government task completion status
  • SMS communication logs
  • Payment information (processed via Stripe)
  • Login and activity timestamps

Identity and estate documents:

To authenticate your identity and authorise estate administration actions on your behalf, we collect the following documents:

  • A government-issued photo ID (driver's licence or passport) from the executor or authorised representative
  • An Australian death certificate issued by a state or territory Births, Deaths and Marriages registry

These documents are stored encrypted in private cloud storage hosted by Supabase (AWS ap-southeast-1, Singapore region). They are not publicly accessible. Access is restricted to your account only.

These documents are attached to bereavement letters sent to providers on your behalf, to assist providers in processing your request promptly.

Documents are retained for the duration of your plan plus 120 days. After 120 days from your plan expiry date, all documents are permanently deleted from our systems. You may request earlier deletion by contacting care@withpassage.com.au.

3. How We Collect It

  • Directly from you during account registration and onboarding
  • From information you enter about the deceased person's accounts
  • Automatically through your use of the platform

We collect this information to:

  • Provide the digital estate executor service
  • Generate bereavement correspondence on your behalf
  • Track progress and send you SMS updates
  • Process payments securely
  • Comply with our legal obligations

5. AI Processing Disclosure

This is important — please read carefully.

When you use WithPassage to generate letters, details about the deceased person including their full name, date of death and account information are sent to Anthropic's Claude AI system to generate correspondence.

By using WithPassage you explicitly consent to this processing. Anthropic's privacy policy applies to this processing and can be found at anthropic.com/privacy.

We only send the minimum information required to generate each letter. We do not send sensitive financial account numbers to Anthropic.

6. Who We Share Data With

We do not sell your data to any third party. We do not share your data for advertising purposes.

7. Where We Store Your Data

Your data is stored primarily in Supabase's Singapore region. Some data may be processed in the United States by our service providers listed above.

All data is encrypted in transit using TLS and encrypted at rest.

8. How Long We Keep Your Data

We manage data retention automatically:

  • Active accounts: Data retained for the full duration of your plan
  • After plan expires: 90-day archive period — you can still log in and reactivate your account
  • At 90 days after expiry: Automatic warning email sent to your registered address
  • At 120 days after expiry: All personal data is permanently and automatically deleted including deceased details, accounts, letters, government tasks and uploaded files

You can request immediate deletion of all your data at any time by emailing hello@withpassage.com.au. We will action deletion requests within 5 business days.

9. Your Rights Under Australian Privacy Law

Under the Australian Privacy Act 1988 you have the right to:

  • Access your personal information
  • Correct inaccurate information
  • Request deletion of your data
  • Withdraw consent at any time
  • Make a complaint to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au

10. Cookies and Analytics

WithPassage uses privacy-friendly analytics that do not use cookies and do not track you across websites. No cookie consent banner is required.

We do not use advertising cookies or share browsing data with advertisers.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by email. The current version is always available at withpassage.com.au/privacy.
